Uber Rideshare Management

Summary

The University implemented Uber as the preferred rideshare and transportation provider in 2019. The addition/removal of university employees and upload of daily member lists was a time consuming effort and low value process. We automated the process end to end adding much more value to the process and reduced lead time significantly to the process.

Process

  • Employees lodge requests for new accounts or changes in the account via Service Now.
  • The Bot logs into Service Now and extracts the information from each individual ticket.
  • The Bot then checks if the employee has requested a new account or an amendment
  • The bot then either inserts the employee information as a new member or amends the information on the database.
  • The Bot will then upload the information to Uber's database via SFTP transfer
  • The Bot also checks if an employee has left the University and if so will termainate the Uber for Business account of the employee.
  • Finally the bot will close or re-route Service Now tickets with appropriate comments via API.

Benefits

  • Low value process not being handled manually allowing staff members to handle higher value tasks.
  • Lead times significantly reduced providing staff members access to service in a few hours compared 1- 3 days.
  • Large scale changes in account information handled in a much quicker and efficient manner.
